This policy explains what personal information we collect through this website and in the course of our business, why we hold it, and what you can do about it.

What we collect
When you fill in a form on this site
We run three forms: Contact Us, Book a Discovery Call, and Download Your Covair Brochure. Between them they ask for your name, email address, phone number, the organisation or club you represent, your role, the sport or facility you are asking about, and whatever you write in the message box. All three are Zoho Forms and the details go straight into our Zoho CRM as an enquiry.
When you become a customer
Contact details for the people we deal with at your organisation, site addresses, quotes, orders, job records, correspondence and invoices. We hold these in Zoho, in Simpro (our job management system), in Xero (accounts) and in Microsoft 365 (email and files).
When you visit this website
Your IP address, device and browser, the pages you look at, how you arrived, and how long you stay. This comes from the analytics and visitor-tracking tools listed under Cookies and tracking below. If you use the chat widget, we also hold the conversation.
When we contact you first
We use business contact details – name, job title, work email, employer – obtained from professional and business sources, to introduce Covair to organisations that plausibly need what we make. You can tell us to stop at any time and we will.
We do not ask for and do not want special category data (health, ethnicity and the like), and we do not knowingly collect information about children through this site.
Why we use it, and our lawful basis
| What we do | Lawful basis |
|---|---|
| Answer your enquiry, prepare a quote, arrange a discovery call | Taking steps at your request before entering a contract; and our legitimate interest in responding to people who contact us |
| Send you the brochure you asked for | Consent, given when you tick the box on the download form |
| Deliver, install, service and maintain a structure; invoice for it | Performance of our contract with your organisation |
| Keep accounting and tax records | Legal obligation |
| Send marketing about products and services relevant to your organisation | Our legitimate interest in marketing business-to-business, or your consent where you have given it. Every message carries an unsubscribe link |
| Understand how the website is used and improve it | Our legitimate interest in knowing how the site performs. The cookies involved are set when you arrive; you can clear or block them in your browser at any time (see below) |
| Protect the site and our systems from attack and abuse | Our legitimate interest in security |
Where we rely on legitimate interests, we have weighed our interest against your rights and are satisfied the processing is not intrusive. You can object – see Your rights.
Who we share it with
We do not sell your information. We share it with the suppliers who run the systems we work in, each under a contract that limits them to acting on our instructions:
| Supplier | What they do for us | Where the data sits |
|---|---|---|
| Zoho Corporation | CRM, forms, live chat (SalesIQ), marketing email, support desk | EU data centre |
| Simpro Software | Job, quote and site records | EU / UK |
| Microsoft (Microsoft 365) | Email, documents, brochure file delivery | EU / UK |
| Xero | Accounting and invoicing | EU / UK |
| Hostinger | Hosting for this website | EU |
| Google (Analytics, Fonts) | Website analytics; web fonts | United States |
| Apollo.io (and Mixpanel, which Apollo’s tools use) | Identifying business visitors to this website, and running our outbound business email | United States |
We also share information with professional advisers, and with anyone we are legally required to disclose it to.
Transfers outside the UK
Google and Apollo process data in the United States. Those transfers are covered by the UK International Data Transfer Addendum to the European Commission’s standard contractual clauses, which is the safeguard UK law provides for this. You can ask us for details.
Cookies and tracking
When you visit covair.co.uk, the following are set:
| Name | Set by | What it is for | Roughly how long |
|---|---|---|---|
| _ga, _ga_3TKRF9R6LD | Google Analytics 4 | Counts visitors and tracks how the site is used | Up to 2 years |
| covair-_zldp, covair-_zldt | Zoho SalesIQ | Runs the chat widget and recognises returning visitors | Up to 1 year |
| apolloAnonId and related browser storage | Apollo.io | Identifies the organisation a visitor is coming from, so our sales team can follow up | Until cleared |
Your browser also requests fonts and code libraries from Google Fonts, jsDelivr and unpkg, and profile images from Gravatar. Those providers see your IP address as part of serving the file.
You can clear or block cookies through your browser settings, and you can opt out of Google Analytics with Google’s browser add-on at tools.google.com/dlpage/gaoptout. Blocking them will not stop you using the site.
How long we keep it
| Record | Kept for |
|---|---|
| An enquiry that does not become a customer | 24 months from your last contact with us |
| Customer and project records | 7 years after the contract ends, for tax, warranty and liability reasons |
| Accounting records | 6 years after the end of the financial year they relate to (HMRC requirement) |
| Marketing contacts | Until you unsubscribe, and then only enough to remember not to contact you again |
| Website analytics | In line with the retention period set in Google Analytics |
